Preparing a BOM enquiry: the information to include

A practical checklist for a component quotation that keeps part identity, quantity, timing and batch requirements clear.

What should a BOM request for quotation contain?

Include the manufacturer, complete orderable part number, quantity, delivery requirement and any condition or documentation restrictions. Keep alternatives separate from the approved BOM, and ask for written confirmation of unresolved fields.

Start with an identifiable line item

Give each BOM line its own reference and keep the full manufacturer part number as text. Preserve punctuation, leading zeros and every suffix. A shortened family name may refer to several orderable versions. Include the manufacturer rather than expecting a supplier to infer it from a prefix. If a field is unknown, mark it as unknown and attach the available drawing, label or datasheet link.

Separate quantities and delivery dates

State the requested quantity for each line and identify the unit. Distinguish an immediate purchase from a forecast, and show acceptable partial deliveries separately. Give a required arrival date and delivery destination, rather than using only “urgent”. If the schedule is flexible, explain that flexibility. This makes it easier to compare offers that may have different packaging quantities, delivery assumptions or quotation-validity periods.

Write down restrictions before comparing offers

Specify the condition you will accept and any date-code, lot, packaging or traceability requirements. List the documents and inspection scope you need before shipment. Avoid treating “new”, “original” or a product photograph as a complete specification of condition. Ask which batch the photograph or document represents. Where the requirement is still open, ask for clarification instead of silently assuming that every supplier uses the same definition.

Control proposed substitutions

Keep the requested part and any proposed alternative in separate columns or separate messages. Ask the supplier to identify the precise difference and provide the relevant manufacturer documentation. A matching package or similar name does not establish electrical equivalence. Changes to an approved BOM need engineering review of the particular design. Record the reviewer and decision so that a later purchaser does not mistake a suggestion for an approved replacement.

Check the quotation and keep the record

Before ordering, compare each quoted line with the enquiry: manufacturer, full part number, quantity, condition, documents and timing. Confirm currency, quotation validity, shipping assumptions and the contracting company. Resolve exceptions in writing and retain the agreed version with the order. This checklist organizes a procurement discussion; it does not confirm availability, authenticity or suitability of a batch. Those points require the agreed evidence and verification for the actual transaction.

Reference tools

Use the latest manufacturer datasheet and ordering information for the exact part. The following manufacturer tools help locate package drawings and top markings; they do not verify a supplied batch.

Frequently asked questions

Can I send a family name instead of a full part number?

Use the complete orderable number whenever available. A family name is a starting point for clarification, not sufficient evidence that all versions have the same package or ratings.

Should forecast demand be combined with a firm order?

Label forecasts and firm quantities separately, and identify the intended delivery stages. This avoids treating a planning estimate as a purchase commitment.

Does a BOM enquiry confirm stock or price?

No. Request a current quotation for the exact lines and confirm supply condition, quantity, documents and commercial terms before placing an order.
